Event: Hooliefest half way to St. Patrick's Day music festival and Viking Gathering, September 13, 2008.

Produced by: Sonora Cultural Faire (producers of the Sonora Celtic Faire)

Location: Mother Lode Fairgrounds Sonora, CA Next to downtown; along Hwy 49 Sonora business loop, at 220 Southgate Drive, Sonora, CA 95370. This is an outdoor event.

Event hours: Open to the public from 12 noon to 10pm Saturday, September 13. Vendors are expected to be open for business from 12 noon - 8pm. Vendors wishing to stay open until 10pm may do so.

Eligibility: Hooliefest is open to artists, crafters and importers. Our goal is to present a show with variety in media and price range. A committee will determine eligibility based on quality, diversity, presentation and originality (as shown in your photographs) in comparison with other applicants within your category. ENTRIES WILL BE JURIED AS THEY ARE RECEIVED. Each category is limited to insure a well-balanced, aesthetically pleasing and interesting show. Hooliefest reserves the right to limit the number of applicants for any one type of item and reserves the right to change or substitute spaces. In case of a qualifying tie, the entry with the earliest postmark will be chosen. APPLICATION DOES NOT GUARANTEE ACCEPTANCE INTO THE SHOW. DO NOT CALL HOOLIEFEST TO ASK ABOUT THE STATUS OF YOUR APPLICATION. IT WILL ONLY DELAY THE PROCESS.

How to apply: Submit the attached application with at least 5 photos of your work. One of the photos should show the display you will use at the show. Quality photos are essential for proper judging. Applications and photos should be submitted by email to faireteam@gmail.com. Printed applications and photos may be mailed to Hooliefest Vendors, 326 Poplar Ave. Manteca, California 95336. You will receive an answer back within 5 working days.

Application deadline: Application must be received by Friday, August 22, 2008. Applications received after August 22, 2008 may be assessed a $35 late application fee.

Fee payment: After approval you will receive payment information. Fees must be paid by cashier's check, money order, PayPal or with a Credit Card online. Personal checks are not accepted. Payment should be made to "SONORA CULTURAL FAIRE". Fees are due no more than 10 business days after notification of acceptance and no later than 10 business days prior to Hooliefest, whichever is earlier. Late payments may be assessed a $35 late payment fee. This is an outdoor event. There are no refunds in case of inclement weather, acts of nature, acts of war, terrorism, or restrictions by governmental agencies or other conditions beyond the control of Hooliefest.

Food Vendor Percentage:For food and drink vendors: In addition to your vendor space fee, 10% of gross sales, after taxes, is required from the sales of food and beverages, payable to the fairgrounds. Insurance is required. Health department inspection is required.


Check in, Setup and Teardown: Vendor check-in will be open from 12 noon - 10pm Friday, September 12 and from 7am - 10am Saturday, September 13. Vendors not checking in or setting up during the assigned times will forfeit booth space and fees.

Vendors may set up only after checking in. Friday setup hours are from 12 noon - 11 pm. Saturday setup hours are from 7am - 11:30am. ALL VEHICLES MUST BE OFF SITE BY 11:00AM SATURDAY MORNING - YOU MAY CONTINUE SETUP INSIDE YOUR BOOTH BUT MUST BE READY TO OPEN BY 11:30AM.

Vendors may tear down after event close Saturday night, or on Sunday. TEARDOWN BEGINS ONLY AFTER THE "ALL CLEAR" IS GIVEN BY HOOLIEFEST GENERAL MANAGER. THIS WILL BE AFTER HOOLIEFEST CLOSES SATURDAY NIGHT, AS SOON AS THE PUBLIC IS SAFELY CLEAR OF THE SITE.

Vendors must be broken down and off site no later than 4pm Sunday September 14th.

SPECIAL ARRANGEMENTS FOR EARLY CHECK IN OR LATE LOAD OUT MUST BE MADE IN WRITING IN ADVANCE WITH HOOLIEFEST VENDOR COORDINATOR.

Vendor property left on-site overnight or during setup and teardown is left at the vendor's own risk. Event and Event Staff assume no liability for lost, stolen or damaged property.

Space assignment: BOOTH SPACES ARE ASSIGNED AT THE DISCRETION OF EVENT STAFF. You may note a preference (near an entrance, near a stage, right in the middle, etc.) on your application and we will try to make you happy when we do layout. Please understand that we cannot always honor these requests and all space assignments are final. You will be given your space assignment when you check in at Hooliefest.

Parking: All vendor vehicles must be unloaded and promptly removed from Event venue prior to booth set up. A vendor parking area will be provided - please park there. Having everyone in the right place will help us expedite vehicle access for teardown after Hooliefest.

Fire inspection: Booths are subject to inspection and approval by officials from City of Sonora Fire Department, the Office of the State Fire Marshal, and Cal Fire. VENDORS ARE SOLELY RESPONSIBLE FOR ENSURING BOOTHS MEET STATE AND LOCAL FIRE SAFETY REQUIREMENTS. All canopies, tents and awnings must bear a state approved certification logo or have proof of fireproofing treatment. We also recommend all vendors have a fire extinguisher with a current California inspection tag.

Display Requirements: Space only is provided. Exhibitors are responsible for providing their own setup and all other materials. Exhibitors are responsible for setting up their own displays. Volunteers and staff are not available to assist with setting up displays. Exhibitors may wish to bring carpet or Astroturf since spaces may be on grass. Merchandise may not project into walkways or onto sidewalks. Merchandise, display equipment, boxes, containers or any other items will not be allowed to remain on sidewalks or pathways after set up. No stolen merchandise, pets, designer knock-offs, amplified music, microphones, firearms, ammunition, or drugs are allowed on the show site. Violators will be expelled and fees will not be returned.

Electricity: Spaces with electricity are limited and must be requested when application is submitted. A request for electricity does not guarantee that it can be provided. The Fire Department requires cords to be a commercial grade and taped down.

Regulations: Hooliefest reserves the right to remove any exhibitor anytime before or during the show in case where: The exhibitor is guilty of improper conduct; Work is improper for family viewing; An exhibitor hinders or encumbers another display or another vendors ability to properly exhibit; An exhibitor attempts to sell work other than what was juried and accepted into the show based on photographs submitted with application. Exhibitors and/or merchants are strictly prohibited from allowing any other vendors to sell goods from their assigned space. The Faire obtains a permit from the City of Sonora for the event. Any exhibitor, merchant, or vendor who does not comply with event regulations will be required to vacate the entire space and/or immediately provide a certificate of insurance with $2 million liability naming Sonora Cultural Faire and the Mother Lode Fairgrounds as additional insured. In order to maintain the orderly movement of the crowd, all sales, leafleting, sampling, conducting demonstrations, distributing written materials and any other commercial, promotional and charitable solicitation activities must be conducted at the participant's preassigned display space. These activities shall not interfere with the orderly and safe movement of the crowd and shall not overflow into neighboring display spaces. These activities are not permissible anywhere else inside the Fairgrounds. Engaging in these activities at any location other than the preassigned space is grounds for removal from Hooliefest. If Hooliefest determines that the participants are interfering with the normal flow of traffic or are overflowing into neighboring display spaces, the officials may limit the activity.

Free Speech Policy: All groups or individuals desiring to leaflet distribute written materials or engage in any political, religious, charitable or other form of solicitation activities at Hooliefest must register with the Committee. All registrants will be assigned space within the Free Expression Zone on a first come, first served basis and these activities must be conducted at the registrant's preassigned space within the Free Expression Zone. These activities shall not interfere with the orderly and safe movement of the crowd and are not permissible anywhere else inside the fairgrounds. Taxes / Insurance / Licenses: A valid California State Board of Equalization Seller's Permit number must be obtained prior to the first day of the show and a copy included with your application. Exhibitors must collect and report 7.75% sales tax. Exhibitors are required to have a temporary or permanent resale license, which may be obtained from the California State Board of Equalization, (800) 400-7115, from the office in your area. Resale licenses are audited on site by the State Board of Equalization. Exhibitors are responsible for their own liability, theft, and workers compensation insurance.


Any additional instructions for check-in and setup will be included in the confirmation packet mailed to vendors after acceptance into show.

* Note: Food vendors with a single specialty item, such as Espresso, Snow Cones, etc. choose "Specialty Food". Food vendors serving regular meal items should choose "General Food". In addition to the booth fee, 10% of gross sales is due to the fairgrounds.
Previous Participant? If you have previously participated at one of our events, the Sonora Celtic Faire, Calaveras Celtic Faire, or International Jousting Championships, tell us which event and year you most recently attended (e.g. "Sonora Celtic Faire, 2008").
Location Preference If you have a preference for where you would like your booth located, such as near an entrance, near food, away from stages and so on then let us know. Hooliefest vendor coordinator will try to get everyone in the area they want, but this may or may not always be possible. Final placement is soley at the discression of the Hooliefest vendor coordinator, and all decisions are final.
